Description:

We are seeking an experienced Executive Assistant to support our VP Digital Media Enterprise Sales and Sr Director Product Marketing (both with International remit within the Digital Media business – Creative Cloud, Document Cloud and Sign).

Would suit an energetic and flexible EA, who enjoys collaborating across teams and regions.

You would need to come into the office 2 or 3 days per week, depending on meetings / events etc and may need to travel within Europe every few months.

What you’ll do

  • Arrange corporate travel and meetings by developing itineraries and agendas, booking transportation and arranging hotels and meeting rooms

  • Coordinate meetings and events – including room / venue reservations, organising food for the day, booking restaurants etc

  • Handle visits by executives from other regions ensuring travel and itineraries are organised and efficient

  • Attend key meetings, taking notes and circulating follow up to attendees

  • Submit expenses and ensure these are managed, systematically, each month

  • Produce information and documents as needed in formats such as PowerPoint

  • Maintain executive's calendar by planning and scheduling meetings, video conferences, and travel

  • Make decisions on diary prioritisation aligned to the executive’s priorities

  • Frequent collaboration with other EAs and teams across international regions and US

  • Welcome guests and customers as needed

  • Maintain complete confidence and ensure all information is kept confidential

  • Places orders for supplies including IT equipment, verifying receipt of supplies

  • Handling POs as needed

What is needed to succeed

  • Extensive experience in a similar role supporting a pan regional leader within an international, dynamic environment

  • Experience in cross regional and cross team collaboration

  • Excellent communication skills, both written and verbal

  • Exceptional scheduling abilities and strong familiarity with Microsoft Office tools

  • Time management skills with excellent planning and organisational capabilities and a keen eye for detail

  • A naturally collaborative teammate that is proactive and solution oriented

  • Ability to manage ambiguity and juggle competing priorities

  • A complete confidential approach to work and treatment of information received as part of the role
