The role:

We are looking for an enthusiastic, adaptable, and detail-orientated Assistant reporting to our Chief People Office.

The ideal candidate would share our vision, adopt, and represent our company values with a high level of commitment. The role is varied, but day to day, involves a high level of planning, coordinating, and internal communication at all company levels.

Working in a fast paced, target driven and international company, the candidate must be able to juggle multiple projects independently and efficiently. In addition, due to the nature of the work, the candidate must have impeccable communication skills and act with discretion. Able to adapt to changes and pressure during peaks of work.

Responsibilities:

The extent of your duties will include but are not limited to:

  • Be responsible for the overall direction and coordination of the team’s administration.
  • Work closely with support staff to build, co-ordinate and secure support and resources for projects and initiatives.
  • Interact with stakeholders to arrange meetings, conference calls, diary schedules etc.
  • Prepare minutes of meetings and assist with the follow up actions from meeting outcomes.
  • Travel booking and co-ordination, submission of expense claims, coordination of large-scale travel requirements for hourly paid Associates.
  • Coordinate visitors on behalf of Senior Management.
  • Develop presentations and agendas for site visits, organisation meetings.
  • Coordinate and manage the correspondence, phone calls and meeting schedule.
  • The Candidate would need to be able to travel to London office
  • Assist in maintaining regular contact with the large network of internal and external stakeholders, which may involve access to additional mailboxes.
  • Draft, prepare and distribute documents and correspondence related to meetings, phone calls and teleconferences.
  • Minute taking for Executive level meetings.
  • Handling of invoices and expense claims.
  • Retrieve and research information when requested.
  • Receive and direct visitors and suppliers.
  • Assist in organization and logistics of company meetings and Executive meetings as necessary.
  • Perform miscellaneous duties as assigned.

Requirements:

  • Proficiency with the Microsoft Office Suite (Outlook, PowerPoint, Word, Excel).
  • Ability to prioritize and handle multiple assignments at any given time while also serving as a "go to" for all members of a large team.
  • Ability to complete complex tasks and projects quickly with little to no guidance, react with appropriate urgency to situations that require a quick turnaround, and take effective action without having to know the total picture.
  • Ability to communicate effectively written and verbal with a variety of constituent groups such as senior management, peers, and outside contacts.
  • High levels of integrity and discretion.
  • Must be flexible and able to commit the time required to get the job done.
  • This role will report to the Chief People Office therefore previous experience providing support to HR execs would be of benefit.
  • Must be able to travel to London office when needed (probably once every week/two weeks)
